Can I enter finance charges, service charges or late fees on customer invoices?

QuickBooks Online does not have the ability to automatically calculate finance charges or late fees on open invoices at this time. Also, there is not a separate area on invoices for service charges or late fees. To assess an additional fee of this type, you must either create a separate invoice for the charge or include it as another line item on your invoice.

To include an additional charge as you create a new invoice:

  1. Go to the Customers tab and select New Invoice.
  2. Fill out the invoice as usual, including the applicable products/services in the New Charges area.
  3. In the next unused line of the New Charges area, select the Product/Service item for service charges or late fees, or choose Add New under Product/Service and follow the prompts if an item for this type of fee has not yet been set up.
  4. Enter the amount of the charge.
  5. Click the Save, Print... or Send... button.

To include an additional charge on an existing invoice:

  1. Go to the Customers tab and select Customer Center.
  2. Select the customer from the list on the left side of the Center.
  3. Go to the Show drop-down list and select Invoices.
  4. Go to the Date drop-down list and select a date range that will include the invoice.
  5. Find the invoice in the list of transactions and double-click to open it.
  6. In the first unused line of the New Charges area, select the Product/Service item for service charges or late fees, or choose Add New under Product/Service and follow the prompts if an item for this type of fee has not yet been set up.
  7. Enter the amount of the charge.
  8. In the Delivery Information box at the bottom of the invoice, choose whether to print and/or email a copy of the updated invoice.
  9. Click the Save, Print... or Send... button.
